Terms of Service
Last updated October 4, 2026
These Terms of Service (the "Terms") are a legal agreement between you and DoorForm ("DoorForm", "we", "us") governing your use of the doorform.io website (the "Site") and the hosted DoorForm property-management service we operate and support for customers (the "Service"). Please read them carefully.
1. Agreement to these terms
By accessing the Site, creating an account, submitting a form, or using the Service, you agree to be bound by these Terms and by our Privacy Policy, which is incorporated by reference. If you do not agree, do not use the Site or the Service.
If you use the Service on behalf of a company or other organization, you represent that you have authority to bind that organization, and "you" and "Customer" refer to that organization. Where you have signed a separate order form, master services agreement, or enterprise agreement with us, that agreement controls to the extent it conflicts with these Terms.
2. Definitions
- Software means the DoorForm source code and binaries made available under the Elastic License 2.0.
- Service means the hosted instance of the Software that we run, upgrade, back up, and support for you under an Order.
- Order means an order form, quote, or online checkout that identifies the Service, the fees, and the subscription term.
- Customer Data means all data you or your Users enter into or upload to the Service, including information about properties, owners, residents, applicants, vendors, and financial transactions.
- Users means your employees, contractors, owners, residents, vendors, and anyone else you authorize to access your instance of the Service.
3. Self-hosting the software
DoorForm is source-available. You may download the Software from oursource repositoryand run it on your own infrastructure at no charge, subject to the Elastic License 2.0 that ships with the source. Your use of the Software when self-hosting is governed by that license, not by Sections 4 through 9 of these Terms. We provide the Software "as is", without support or service commitments, unless you purchase a support plan from us.
Among other things, the Elastic License 2.0 does not allow you to provide the Software to third parties as a hosted or managed service, to circumvent its license key or feature-gating functionality, or to remove its licensing, copyright, or trademark notices.
4. Accounts and eligibility
The Service is intended for businesses and for individuals who are at least 18 years old. You are responsible for maintaining the confidentiality of your credentials, for all activity under your account, and for ensuring that your Users comply with these Terms. Notify us promptly athello@doorform.io if you suspect unauthorized access to your account.
You must provide accurate account and billing information and keep it current. We may refuse, suspend, or close accounts that provide false information or that we reasonably believe are being used in violation of these Terms.
5. Acceptable use
You agree not to, and not to permit any User to:
- use the Service in violation of any applicable law, including fair-housing, consumer-protection, debt-collection, telephone-consumer-protection, and data-protection laws;
- upload or transmit content that is unlawful, infringing, defamatory, or that contains malware;
- send unsolicited messages (email, SMS, or otherwise) through the Service, or send messages to anyone who has not consented to receive them where consent is required;
- attempt to gain unauthorized access to the Service, other customers' data, or our systems, or probe, scan, or test the vulnerability of the Service without our written permission;
- interfere with the integrity or performance of the Service, or impose an unreasonable load on our infrastructure;
- resell, sublicense, or provide the Service to third parties as a service bureau, except for your Users in the ordinary course of managing your portfolio; or
- use the Service to build a competing product, or to copy its features, functions, or user interface for that purpose.
6. Customer data
Ownership. As between you and DoorForm, you own your Customer Data. You grant us a limited, non-exclusive license to host, copy, process, transmit, and display Customer Data solely as needed to provide, secure, support, and improve the Service and as otherwise permitted by these Terms and our Privacy Policy.
Your responsibilities. You are responsible for the accuracy, legality, and completeness of Customer Data and for having all rights, consents, and notices required to collect it and to let us process it. This includes consents from residents, applicants, and owners whose information you enter, and compliance with any screening, payment, or messaging laws that apply to your use.
Isolation and security. Each organization's data is logically isolated within the Service. We maintain administrative, technical, and physical safeguards designed to protect Customer Data, as described in our Privacy Policy. We do not guarantee that the Service will be free from unauthorized access.
Export and deletion. You may export your Customer Data from the Service at any time during your subscription using the built-in export and reporting tools. After termination we will make your data available for export for at least 30 days, after which we may delete it from active systems, subject to backup retention periods and any legal obligation to retain records.
Backups. For the managed Service we maintain regular backups as described in your Order. Backups are a safeguard, not a substitute for your own record-keeping; you remain responsible for retaining records you are required to keep by law.
7. Payments and third-party services
The Service integrates with third-party providers for payment processing (ACH and card), applicant screening, electronic signatures, email and SMS delivery, banking data, and similar functions. Those providers have their own terms and privacy policies, and your use of those features is subject to them. We are not a bank, money transmitter, or consumer reporting agency; payment funds are handled by the payment processor and screening reports are produced by the screening provider. We are not responsible for the acts or omissions of third-party providers, for processor fees, or for the availability of their services.
Where you connect a third-party service to the Service, you authorize us to exchange Customer Data with that provider on your behalf as needed to make the integration work.
8. Fees and billing
Self-hosting the Software is free. Fees for the managed Service, support plans, onboarding, migration, and custom work are set out in your Order. Unless the Order says otherwise, subscription fees are billed in advance for each billing period, are due within 30 days of the invoice date, and are non-refundable except where these Terms or applicable law require a refund.
Fees exclude taxes. You are responsible for all sales, use, VAT, and similar taxes, other than taxes on our income. We may charge interest on overdue amounts at the lesser of 1.5% per month or the maximum rate permitted by law, and may suspend the Service after giving you at least 10 days' written notice of non-payment. We may change fees for a renewal term by giving you at least 30 days' notice before the renewal.
9. Term, suspension, and termination
Your subscription runs for the term in your Order and renews automatically for successive terms of the same length unless either party gives notice of non-renewal at least 30 days before the end of the current term.
Either party may terminate these Terms if the other materially breaches them and fails to cure the breach within 30 days of written notice. We may suspend or terminate access immediately if you breach Section 5, if continued operation would create a security or legal risk, or if you become insolvent. We will give you notice where it is reasonable to do so.
On termination your right to use the Service ends, any unpaid fees become due, and Section 6 governs the return and deletion of Customer Data. Sections 6, 10 through 16, and 18 survive termination.
10. Intellectual property
DoorForm and its licensors own all right, title, and interest in the Software, the Service, the Site, and the DoorForm name and logos, including all improvements and derivative works we create. Except for the rights expressly granted in these Terms or in the Elastic License 2.0, no rights are granted to you, by implication or otherwise. The Software's license governs your rights to use and modify the source code. You may not use the DoorForm name or marks to suggest that a self-hosted or modified instance is operated or endorsed by us.
The Software includes open-source components licensed under their own terms. Nothing in these Terms limits your rights under those licenses.
11. Feedback
If you send us suggestions, bug reports, feature requests, or other feedback, you grant us a perpetual, irrevocable, royalty-free license to use it without restriction or obligation to you. Code contributions to the source repository are governed by the contribution terms published there.
12. Confidentiality
Each party will protect the other's non-public business, technical, and financial information ("Confidential Information") with at least the care it uses for its own confidential information, and will use it only to perform under these Terms. Customer Data is your Confidential Information. Confidential Information does not include information that is public through no fault of the receiving party, that the receiving party already knew, or that it independently developed. A party may disclose Confidential Information when required by law, after giving the other party reasonable notice where permitted.
13. Disclaimers
EXCEPT AS EXPRESSLY STATED IN AN ORDER, THE SITE, THE SOFTWARE, AND THE SERVICE ARE PROVIDED "AS IS" AND "AS AVAILABLE". TO THE FULLEST EXTENT PERMITTED BY LAW, DOORFORM DISCLAIMS ALL WARRANTIES, EXPRESS OR IMPLIED, INCLUDING WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, TITLE, AND NON-INFRINGEMENT, AND ANY WARRANTY THAT THE SERVICE WILL BE UNINTERRUPTED, ERROR-FREE, OR SECURE.
DoorForm provides software, not accounting, legal, tax, or compliance advice. Reports, statements, tax forms, and calculations produced by the Service depend on the data you enter and must be reviewed by you and your professional advisers before you rely on them.
14. Limitation of liability
TO THE FULLEST EXTENT PERMITTED BY LAW, NEITHER PARTY WILL BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, OR FOR LOST PROFITS, REVENUE, DATA, OR GOODWILL, ARISING OUT OF OR RELATED TO THESE TERMS, EVEN IF ADVISED OF THE POSSIBILITY OF SUCH DAMAGES.
TO THE FULLEST EXTENT PERMITTED BY LAW, DOORFORM'S TOTAL LIABILITY ARISING OUT OF OR RELATED TO THESE TERMS WILL NOT EXCEED THE FEES YOU PAID TO DOORFORM FOR THE SERVICE IN THE 12 MONTHS BEFORE THE EVENT GIVING RISE TO THE CLAIM, OR ONE HUNDRED U.S. DOLLARS (US$100) IF YOU HAVE PAID NO FEES.
These limits do not apply to a party's indemnification obligations, to breaches of confidentiality, to your payment obligations, or to liability that cannot be limited under applicable law.
15. Indemnification
You will defend and indemnify DoorForm against third-party claims, and the resulting damages, costs, and reasonable attorneys' fees, arising from Customer Data, from your or your Users' use of the Service in violation of these Terms or applicable law, or from your relationships with residents, owners, applicants, and vendors.
DoorForm will defend and indemnify you against third-party claims that the Service, as provided by us and used in accordance with these Terms, infringes a U.S. patent, copyright, or trademark, except to the extent the claim arises from Customer Data, third-party services, your modifications, or your combination of the Service with other products. If such a claim arises, we may modify or replace the affected part of the Service, or terminate the affected subscription and refund any prepaid fees for the unused term.
The indemnified party must promptly notify the indemnifying party of the claim, give it control of the defense and settlement, and provide reasonable cooperation.
16. Governing law and disputes
These Terms are governed by the laws of the state in which DoorForm is organized and the United States, without regard to conflict-of-laws rules. Before filing a claim, each party agrees to try in good faith to resolve the dispute informally by contacting the other party and allowing 30 days for discussion. Any claim that is not resolved informally will be brought in the state or federal courts located in the state in which DoorForm is organized, and both parties consent to the personal jurisdiction of those courts. Either party may seek injunctive relief in any court of competent jurisdiction to protect its intellectual property or Confidential Information.
17. Changes to these terms
We may update these Terms from time to time. When we make material changes we will post the updated Terms on this page, update the "Last updated" date, and, for paying customers, notify you by email or in the Service at least 30 days before the changes take effect. Changes apply to your subscription at the start of the next renewal term, unless you accept them earlier. If you do not agree to the changes, you may give notice of non-renewal before they take effect.
18. General
- Entire agreement. These Terms, the Privacy Policy, and your Order are the entire agreement between you and DoorForm regarding the Site and the Service, and supersede any prior agreements on the subject.
- Assignment. You may not assign these Terms without our written consent, except to a successor in a merger or sale of substantially all of your assets. We may assign these Terms to an affiliate or successor.
- Force majeure. Neither party is liable for delays or failures caused by events beyond its reasonable control, other than payment obligations.
- Notices. We will send notices to the email address on your account. You may send notices to us at hello@doorform.io.
- Severability and waiver. If any provision is unenforceable it will be modified to the minimum extent necessary, and the rest of these Terms remain in effect. A failure to enforce a provision is not a waiver of it.
- Independent contractors. The parties are independent contractors. These Terms do not create a partnership, joint venture, agency, or employment relationship.
- Export and sanctions. You may not use the Service in violation of U.S. export-control or sanctions laws.
